Privacy

Your board owns its data.

Here is what we keep, why we keep it, and how your board exports it or deletes it.

  • We never sell your data or share it for marketing.
  • We don’t look at your board’s cases. We open them only to help, when your board asks.
  • Export everything, anytime. Any board member can download it.
  • Delete it, anytime. The board owner can delete the board’s data from the app.

The software (app.kindlyboard.com)

Your board’s cases are saved to your board’s account, so everyone on the board works from the same records on any device. Only the people your board adds can see them in the app.

What we keep, and why:

  • Your board’s records: cases, owner names and addresses, notes, dates, letters and the paper trail. This is the work your board saves.
  • Board details: the board’s name, state and the email address of each member, so people can sign in.
  • Sign-in records: when someone signs in, and the internet address a sign-in request came from, to stop abuse. Sign-in uses a one-time link or code. There are no passwords to steal.
  • A short activity log: sign-ins, members added or removed, billing changes. It holds no case details.
  • A working copy in your browser, so the app keeps working if your connection drops. Signing out clears it.

We don’t look at your board’s cases. We open them only to help, when your board asks us to, or if the law requires it.

The “Describe the issue” box

Questions are answered by the Kindly Board AI assistant. Before anything is processed, the app removes the names, addresses, email addresses and phone numbers it recognizes. We don’t store the text, and it never includes your saved cases. We never sell your data or share it for marketing. Like every software company, we use a few trusted service providers to run the app, and they may only use your data to provide our service.

Kits and the free checklist

  • Kits are files you download and keep on your own computer. We never see what your board puts in them.
  • Buying a kit: checkout runs on Stripe, which takes your name, email and payment. We email your download link.
  • The free checklist: we keep your email address (and your first name and state, if you give them) to send the checklist and our HOA Board Brief. Every email has an unsubscribe link.

Payments

Subscriptions and kit purchases are paid through Stripe. Card numbers go straight to Stripe. We never see them or store them.

Who helps us run it

  • Cloudflare: hosting, the database, and running the AI assistant behind the “Describe the issue” box.
  • Stripe: payments.
  • Resend: sign-in and order emails.
  • Kit: the checklist and newsletter emails.

They handle data only to provide these services to us. We don’t use advertising trackers.

Security

Everything travels over an encrypted connection (HTTPS). Every request for a board’s records checks that the person is signed in and on that board.

Export and delete

  • Export: in the app, open Your data and choose Download everything (one complete file) or Cases as a spreadsheet. Any board member can export, anytime, including after a subscription ends.
  • Delete: the board owner opens Your data, types DELETE and confirms. The board’s records are removed from our database at once, and copies in board members’ browsers are cleared the next time they open the app. Your account, members and billing stay until you cancel. Our database keeps automatic restore points for up to 30 days, then the data is gone for good.
  • Close your account: email us and we’ll remove your board, its members and its sign-in records too.
